Case File Message Management HELP
The purpose of the MyLawWorks Case File Message Management system is Multifold.
To send email messages
To save email messages to a particular case file
To assign email messages to a particular case file
To display email messages that have been cataloged or assigned to a particular case.
There are 3 parts or functions to this system.
The Message Center which sends email messages and saves them to a particular case file.
The Message Case Assignment which allows you to catalog or assign external internet messages (from smart phones or other NON-MyLawWorks programs) to a particular case.
The Case File Messages which organize and display the messages saved from items 1 and 2 above.
Functions 1 and 3 are very intuitive and are available for immediate use after signing on to the MyLawWorks system.
Function 2, though easy to understand, requires a little education. These messages have been sent to a special MyLawWorks email address referred to as a email collection address. Typically, via a smart phone, MS Outlook or some other Non-MyLawWorks program. An example, a client sends an attorney an email with a question about his case. The attorney ponders the question, answers the client using a reply option and Carbon Copies (CC) to the special MyLawWorks email address referred to as a email collection address. When function 2 is executed it will display all messages sent to this address. Allowing you to decide its fate. You can assign it to a case, delete it, or ignore it until later. Pretty simple procedure AFTER you have done it once or twice.
The email collection address was given to you when you signed up for MyLawWorks. It has the format of [email protected] where ??? is something meaningful. Any message sent to this address will show up in function 2. If you can't find it, call or email us.
The following is a guideline for using your MyLawWorks email collection address.
Don't send junk to it. It will show up in function 2 and somebody will have to delete it. It only clogs up a perfectly good system.
Embedded images are not supported. They will show up, within the email text, as a little lost icon picture.
Attachments are supported. Up to 10 per message. If you have more than that breakup the message. Or ponder as to why so many attachments for a single message ? Perhaps they should be combined ?
The single best way to use it hands down, by far, no argument can beat it, is in the CC or Carbon Copy field of your email program. When used this way, the MyLawWorks "To" field will really show who you sent the message to. e.g. A client sends you a message, you reply, and drop this address in the CC field.
You can put this email address in the "To" field of your email program. Which can easily happen on a forward mail situation. However, that is what will show up in the MyLawWorks "To" field.
You can give the email address to your client and request that they drop it in the CC field of any message they send you. But consider how many times that message might be replicated. e.g. I send you a message and you reply. Your reply message has my original message and your reply. I reply back. Now my reply has the original message, your message and my reply. So my count so far is 3 copies of the original message. Consider just you and your paralegal using this address. It will probably be a much tighter/efficient message database for you to go back and look at.
Put this address in your message address book. Don't key it in every time. Make your life easy. It should be easy to find Carbon Copy (CC) to SaveMessage-???
